Project Manager / Senior Project Manager

Brief Job Summary:
The Project Manager plans, executes, and finalizes projects according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan. The Project Manager will also lead the effort to define the project’s objectives, timelines, resources, and budget. The Project Manager will also oversee quality control throughout its life cycle.

Program Management Department Roles and Responsibilities
  • Develop timelines, project checklists and billing checklists
  • Conduct project kick-off meetings and post-conference debriefings
  • Maintain electronic job folders/files and hard copy job jackets for each project
  • Traffic internal job jackets throughout duration of each project
  • Coordinate vendor/freelance selection; manage vendors/freelancers for duration of project
  • Prepare information and run weekly internal/client status meetings
  • Participate in recruitment of faculty for medical meetings
  • Obtain project manuscript(s) information from faculty et al, participate with development, and facilitate formatting
  • Review all vendor invoices and prepare final billing checklist for Director, Project Management and Account Manager
  • Work with team to ensure accuracy and timeliness of individual projects
  • Periodically review profit/loss reports with Director, Project Management to insure accuracy/effectiveness of individual projects
  • Attend on-site and industry meetings as required
  • Alert Director, Project Management to changes in project scope
  • Assist with client communication, as needed
Interdepartmental Roles and Responsibilities
  • Liaise with all internal agency departments to collect relevant proposal/budget information
  • Function as intermediary with Event Planners/Managers and faculty/participants regarding meeting logistics (pre-and post-program)
  • Liaise with Creative Services for project/program material implementation
  • Primary contact with Editorial Services point-person to advance manuscripts(s) e.g., faculty presentations, program materials, projects
  • Partake in development, evaluation and fulfillment of creative materials

Essential Job Qualifications
  • Education: College degree
  • Experience: 3-5 years agency experience preferred
  • Knowledge of pharmaceutical/medical education/healthcare industries a plus
